About the Position: We are looking for an energetic, outgoing individual who is highly organized with excellent verbal and written communication skills and superb attention to detail. The person selected will be responsible for incoming calls, sorting mail, responding to email and in-person inquiries, providing visitors with information and resources. The Administrative Assistant will be responsible for entering contracts and purchase orders into the District’s ERP system, maintaining and organizing the boardroom, breakroom, copy center and other communal areas, scheduling/coordinating meetings, researching, filing, processing invoices, processing expense reports, ordering supplies, preparing presentations, as well as running reports, entering, and retrieving information from a database systems. The Administrative Assistant has excellent written and verbal communication skills, successfully interfacing with a variety of stakeholders; including the general public, staff, board members, consultants, contractors, and local municipalities.

Required Education & Experience:
Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be:
Equivalent to the completion of twelfth (12th) grade and three (3) years of progressively responsible general office experience. Applicants should have experience in Microsoft Office including Outlook scheduling, Word, PowerPoint, and Excel. An Associate of Arts (AA) degree or Bachelor’s degree, and fluent in Spanish are highly desirable. Experience working with an ERP (Enterprise Resource Planning) system (for example: New World Systems, Oracle, SAP, Sage) is also highly desirable.
Licenses & Certifications Required: Possession of a valid California Driver’s License.
Working Conditions: This position is part of Administrative Services at the District’s office in Los Altos, California and will work in an office environment.
